Q: What is an ON LINE Reservation System?
A: The facility that allows your site visitors to make a reservation themselves in real time, and obtain autimatically a confirmation. No e-mails exchange, no questions, no time spending. It is all automatic.
Q: How does this work?
A: This is all automatic. All you have to do is enter your room availability and rates into the system. When a client asks for a room he is answered by the system for availability and rates. When he decides he wants to make a reservation, he is asked all the necessary details and when done, he is provided with a "confirmation note and number" of his reservation.
Q: Do we have full control on the hotel database?
A:Yes. You choose your own full access password. You may log on 24 hours a day, 7 days a week and make any change you like.
Q: When we want to make global changes can we de-activate the system?
A:Yes. You have a button so that you can Acivate/Deactivate when you are making global changes. However if you deactivate the system do not forget to activate it again when done, as you will not be able to accept reservations
Q:How do I know that a reservation has been made?
A: An automatic e-mail will be sent to you at the same minute the reservation is made.Fax facility can be provided at a small cost. The costless fax notification is under construction
Q: If all the rooms are sold how do I know?
A:For each room type you set up a number of available rooms under which you wish an alert notice. When rooms are sold and the remaining rooms available are less than what you have defined, then you receive an alert e-mail.
Q:Is the credit card securely processed?
A:We always keep updated with the most secure systems in the Internet. Details remain on our servers for five days so that you can log on and obtain them
Q:What if a client does not want to deliver his credit card details through the Internet?
A:The system provides you with a choice. If you want you can let the client send his request and allow him 24 hours to send his credit card by fax. In such a case he is provided with a form to fill and fax to you
Q:How does a client amend or cancel a reservation??
A:When he makes a reservation in the first place he is provided a unique confirmation number. He can amend or cancel his reservation using his e-mail and the confirmation code. Thus you are stil not interfering.
Q:How does the system handle our cancellation policy??
A:You enter your own cancellation policy into the system.When a client is making a reservation he is notified of your policy and has to verify that he was notified.
Q:How many different rates can we have in the system?
A:For a hotel five Rate Masters are provided upon installation. For Travel agents and portals one Rate Master is provided upon installation. Please add a small fee per additional Rate Master.
Each Rate Master will have all your room types and rates for plenty of seasons. You can use e.g. Rate Master 1 for Internet users, Rate Master 2 for Travel agents, Rate Master 3 for tour operators etc. Each Rate Master can be assigned to unlimited users. For example Master Rate 2 can be assigned to 30 different agents.
Q How many room types can I set up?
A:Within reason you can enter an unlimited number of room types.
Q:How do we assign a user name and password to an agent?
A:You can enter an agent to the system any time. As soon as he has been recorded you assign him a User Name a Password and a Rate Master.
Q:How does an agent make a reservation?
A:After that he can make one or multiple reservations, using his password and receiving the agreed rates.
Q: Does an agent also have to provide credit cad details?
A:It is up to you. When setting up an agent you can decide whether you want a credit card guarantee, a pre-payment , or no guarantee for all his reservations. It can be changed any time by you.
Q:Can I have packages e.g."Spring Dream" that will include two overnights on Half Board??
A:Yes you can. Any time you can set up a package and also define what happens if client wants to book additional nights.
Q:Who sets the hotel up for the first time?
A:We will send you some forms concerning the hotel details. After you fill the necessary information we will install the hotel for the first time. We will provide a password so that you have full control on the hotel.You will be responsible for maintaining all data of the hotel updated.
Q:Will we have any help after installation?
A:When entering the system you have an on line help manual. You can call any subject or print it out for reading. At any case we will be happy to assist you by resolving any difficulties you may face.
Q:Can other users from our staff also log on and change the data?
A:You can set up as many users as you wish based on three different access levels. Each of them will be allowed to change anything within his authority.
Q:Does the system allow reservations for the same day?
A:You set up how many days ahead (0..30) you want the system to accept reservations. Timing is based on GMT.
Q: Is the reservation page appearance similar to our hotel's site?
A: You can set up the colours yourself so that the reservation page looks as a part of your own site.
Q:What happens if a hotel needs to co-operate with a travel agent so that they can both accept bookings for the hotel?
A:We will provide two different links, leading to the same control center. When a client clicks on the travel agent site link, the reservation will be recognised as one through the specific tavel agent.
Q: So we can have as many links as we want, leading to our control center.
A: Correct. You can have like five links or banners to different sites. Each reservation will be recognised from the site it comes and obtain the rates you wish.
Q: Do we receive any statistics or reports?
A:You can enter the system any time and obtain various reports as reservation lists, traffic reports, hits you received etc. All reports can be also obtained at a file format for further evaluation.
Q: Is the reservation page appearance similar to our hotel's site?
A:Yes. One of the facilities offered is a full color chart so that you choose the colors to be similar to your site. Thus the client sees the reservation section as part of your site.
Q;Is the software for hotels different for a hotel than for Agents or Portals?
A:Yes. A hotel has control on its property only. A Travel Agent or Portal can use multiple hotels on the site and have full control for all of them.
Q; If an agent uses the software will other agents be able to set up hotels in their area?
A:. It is a matter of password. If you provide them a password (3 levels) then they will be able to add hotels, so that you can cover a larger area.
Q: When an agent sets up another agent does he have access to all hotels?
A: Yes he does. All you have to do is activate the agent to the hotels you wish and de-activate him for the hotels you do not want him to have access.
Q: Do you also have a tour booking engine for on line reservations.?
A:The booking engine for tours on line is under construction. It will soon be available for use.
